Payment Policy

 

Applies to: All purchases and service engagements with Aumictech LLC (“Aumictech,” “we,” “us”). “You” or “Customer” refers to the individual or entity placing the order, approving service work, or otherwise authorizing payment. This Payment Policy is incorporated by reference into our Terms & Conditions and Return/Refund Policy.


1) Scope & Authority

  • This policy governs all payments for: (a) product sales (new, used, refurbished, “AS‑IS/For Parts”), (b) calibration, repair, and diagnostics services, (c) software/licenses, (d) accessories/consumables, and (e) shipping, insurance, customs, and related fees.

  • By submitting an order, accepting a quote, issuing a purchase order (PO), approving a repair estimate, or providing a payment method, you acknowledge and agree to this policy.

  • If there is a conflict between this policy and any Customer PO terms, this policy controls unless Aumictech expressly agrees otherwise in writing.


2) Currencies, Pricing, and Quotes

  • Currency: All prices are in U.S. Dollars (USD) unless we explicitly agree in writing to accept another currency. If you pay in a non‑USD currency, your bank/card may apply its own exchange rate and fees.

  • Displayed Prices: Prices may change without notice prior to order acceptance due to market volatility, supplier changes, or errors. We reserve the right to correct typographical or pricing errors and to cancel/refund any unfulfilled order affected by such errors.

  • Quotes/Proformas: Unless stated otherwise on the document, quotes are valid for 15 calendar days from the date of issuance. Lead times and freight estimates are indicative and not guaranteed. “E&OE” (Errors & Omissions Excepted) applies.

  • Taxes & Fees: Prices exclude sales/use/VAT/GST, duties, brokerage, disposal, permit, environmental, and compliance fees unless explicitly included. Applicable taxes/fees will be added to your invoice.


3) Accepted Payment Methods

Subject to risk review and transaction limits:

  1. Credit/Debit Cards (Visa, Mastercard, American Express, Discover, etc.).

    • We may authenticate via 3‑D Secure, CVV, AVS, and/or ID verification.

    • High‑value invoices may require an alternative method (e.g., wire) at our discretion.

  2. ACH / Bank Transfer (U.S.) and Wire Transfer (Domestic/International).

    • Bank details are provided on official Aumictech invoices only. Always call us at a known number to confirm details if you receive any change notice (see §17.6 Anti‑Fraud).

  3. Checks (U.S. only) — subject to clearing; cashier’s check preferred for speed and certainty. Personal checks may extend release/shipment.

  4. PayPal / Similar Processors — where available and subject to platform limits and fees.

  5. Purchase Orders (POs)by pre‑approval only (see §10 Net Terms/POs). Government, education, and large enterprise customers may qualify.

  6. Escrow — available for high‑value transactions upon mutual agreement; Customer pays escrow fees unless otherwise agreed.

  7. Store Credit/Gift Certificates — if issued by Aumictech, subject to stated terms; not redeemable for cash unless required by law.

Surcharges/Convenience Fees: Where permitted by law and disclosed in advance, a reasonable convenience fee may be applied to certain invoice card payments or alternative platforms. No surcharge is applied where prohibited by law.


4) Payment Timing, Authorization & Settlement

  • Point‑of‑Sale (Online Checkout): Cards are authorized at checkout; capture/settlement may occur immediately or upon shipment. For pre‑order/backorder items, we may capture a partial deposit or full payment per listing.

  • Invoiced Orders: Payment is due upon receipt unless terms are granted (see §10). Goods do not ship and service does not commence until required payments clear.

  • Pre‑Authorization Holds: Your bank may place a hold; duration is controlled by your bank, not by Aumictech.

  • Clearing Times (Typical, not guaranteed): ACH 1–3 business days; domestic wire same day if before bank cutoff; international wire 2–5 business days; checks 5–10 business days.

  • Title & Risk: Title to goods transfers only when paid in full; Aumictech may retain a security interest (UCC) until payment clears (§16).


5) Order Review, Screening & ID Verification

  • We use fraud‑screening tools and may request additional verification (e.g., copy of government ID, business license, tax exemption certificate, card authorization form, or corporate documents) before fulfilling an order.

  • Triggering Conditions (non‑exhaustive): high order value, mismatch of billing/shipping addresses, ship‑to freight forwarders, high‑risk geographies, atypical purchasing patterns, or first‑time customers.

  • If verification is not provided or not satisfactory, we may cancel the order and refund to the original payment method.


6) International Orders, Duties & Brokerage

  • Unless expressly stated otherwise in writing, Customer is responsible for all import duties, taxes, VAT/GST, brokerage, and customs clearance charges. Carriers may bill you directly.

  • Refusal/Return: If you refuse to pay duties/fees causing a return, you remain liable for all shipping charges, return fees, carrier storage, and any restocking or refurbishment charges per our Return Policy. Unpaid amounts may be offset against any refund.


7) Services: Diagnostics, Repair & Calibration Payments

  • Evaluation/Diagnostics Fee: Unless waived in writing, a non‑refundable evaluation fee may be required up‑front. If you approve the repair, we may credit some or all of this fee toward the repair total (as stated on your RMA/estimate).

  • Approval & Deposits: Written approval (email/PO/signature) is required prior to work. We may require a deposit (commonly 30–100% depending on parts cost and risk) before ordering parts or beginning labor.

  • Declined Estimates / No Fault Found: If you decline the estimate or equipment is found non‑repairable, you are responsible for return shipping and any accrued charges. Unpaid items may be considered abandoned after written notice (§15).

  • Calibration Scope: NIST‑traceable or ISO/IEC scopes will be billed per the quoted work; any additional remedial work discovered will be quoted for approval.


8) Custom, Special‑Order & “AS‑IS/For Parts” Items

  • Custom/Special‑Order/Non‑Stock: Require full prepayment and are non‑cancelable/non‑returnable (NCNR) once we place the supplier order.

  • AS‑IS/For Parts/Non‑Functional: Require full prepayment and are final sale with no warranty, no returns, and no refunds except where prohibited by law.


9) Partial Payments, Installments & Milestones

  • For complex projects or large orders, we may structure payments as milestones (e.g., deposit, parts release, pre‑shipment balance). Goods/services may be paused or withheld if a milestone payment is late.

  • Installment plans or financing may be available through third‑party providers; eligibility, rates, and disclosures are controlled by the provider.


10) Net Terms, POs & Late Fees

  • Eligibility: Net terms (e.g., Net‑15/30) are by application and approval. We may require trade references, bank references, and credit checks.

  • PO Requirements: A valid PO must include legal entity name, “bill to” and “ship to” addresses, contact details, Aumictech quote/invoice number, itemized lines, unit prices, total, and agreed terms.

  • Late Payments: Past‑due balances may incur interest at 1.5% per month (18% APR) or the maximum rate allowed by law, whichever is lower, plus reasonable collection costs and attorneys’ fees.

  • Returned/NSF Payments: A $35 (or maximum allowed by law) fee may be charged for returned ACH/checks.

  • Suspension: We may suspend further shipments/services and revoke terms if payment is late or credit profile changes.


11) Invoicing & Receipts

  • Invoices are issued electronically. Paper copies available upon request.

  • Receipts for card/online payments are emailed at the time of capture.

  • Consolidated invoicing may be arranged for recurring customers.


12) Refunds, Adjustments & Chargebacks (Payment Method Rules)

  • Refund Method: Approved refunds are returned to the original payment method. If that method cannot accept a refund (e.g., closed account), we may refund by ACH or check after identity verification.

  • Processor Fees: Third‑party payment processor fees may be non‑refundable to us; where they are not returned to us, your refund may be net of those non‑refunded fees (we will disclose when applicable).

  • Chargebacks/Disputes: If you initiate a chargeback, we may suspend account privileges and collections will proceed pending outcome. To avoid chargebacks, contact us first; we resolve most issues quickly via RMA or invoice correction.

  • Store Credit: When offered as a resolution, store credit is non‑transferable and expires only if stated in writing or required by law.


13) Cancellations

  • Before Shipment/Work Start: We will attempt to cancel upon request, but custom/NCNR items (§8) and work already performed may not be cancelable. Fees for work to date, supplier restocking, and administrative handling may apply.

  • After Shipment: See Return/Refund Policy. Shipping costs are non‑refundable once a package is tendered to the carrier unless we are at fault.


14) Promotions, Coupons & Price Matching

  • Promotions/Coupons: One promotion per order unless the promotion states otherwise. Not valid on prior purchases, gift certificates, taxes, shipping, service labor, or NCNR items unless expressly stated. Promotions may have minimum spend and expiration.

  • Price Matching: Considered case‑by‑case for comparable items from authorized sellers in the same condition and region, excluding closeouts, auctions, membership pricing, or pricing errors.


15) Abandonment & Storage

  • If we request payment or shipping instructions and you do not respond or pay balances due within 30 days, we may deem the order/RMA abandoned. We may charge reasonable storage fees and/or dispose of items per applicable law after a final notice. Proceeds, if any, may be applied to your outstanding balance.


16) Title, Risk of Loss & Security Interest

  • Title Retention: Title to goods remains with Aumictech until payment in full posts and clears. We may file UCC financing statements to perfect our interest.

  • Risk of Loss: Transfers per shipping terms in our Shipping Policy. If Customer arranges pickup or uses a third‑party carrier, risk may transfer at our dock.


17) Security, Privacy & Anti‑Fraud Measures

  1. PCI & Data Handling: Card data is processed via PCI‑compliant gateways. We do not store full card numbers on our systems.

  2. Verification Calls: Aumictech will not notify you of last‑minute bank account changes by email alone. Always verify any bank detail change by calling a known Aumictech number listed on our website/quote.

  3. No Third‑Party Payments: We may reject payments from entities not matching the invoice Customer without prior written approval (AML/KYC compliance).

  4. Payment Links: We may send secure payment links. Do not pay via links that seem suspicious; contact us if in doubt.

  5. Account Security: You are responsible for safeguarding your account credentials and ensuring authorized users only.

  6. Phishing/Wire Fraud: Aumictech is not responsible for losses arising from payments sent to fraudulent accounts when you fail to verify details as required herein.


18) Tax‑Exempt & Reseller Customers

  • Provide a valid and signed exemption/resale certificate before payment. We cannot refund sales tax after the fact if documentation was not provided in time, except where mandated by law.

  • We may periodically re‑validate exemption status.


19) Government, Education & Enterprise

  • W‑9 and vendor onboarding documents available upon request.

  • Purchase via PO may be available upon approval; terms as specified in §10.

  • Additional compliance clauses (e.g., flow‑downs) must be agreed in writing prior to order acceptance.


20) Dispute Resolution & Audit Trail

  • For billing disputes, notify sales@aumictech.com within 10 business days of invoice/charge. Provide PO/quote numbers, serial numbers, and a description of the discrepancy.

  • We maintain order, payment, and communication logs. You authorize us to share relevant records with processors, banks, carriers, and insurers to resolve disputes.

22) Policy Changes & Severability

  • We may update this policy at any time; changes apply to orders placed after the effective date. Material changes will be posted on our website and/or included in quotes.

  • If any provision is found invalid or unenforceable, the remaining provisions remain in full force.


23) Quick Reference (Non‑Exhaustive)

  • Payment due at checkout or per invoice terms.

  • Title passes only when fully paid; shipments may be held until funds clear.

  • International buyers pay duties/taxes/brokerage.

  • Custom/NCNR & AS‑IS items are final sale.

  • Late fees may apply to past‑due invoices; NSF fee applies to returned payments.

  • Verify bank details by phone for any wire transfers.

  • Use official Aumictech invoices/links only.


Appendix A — Typical Bank Transfer Guidance (Illustrative)

  • We will provide our bank name, address, routing/ABA (domestic), SWIFT/BIC (international), and account number only on an official invoice. Always verify by phone.

  • Include your invoice number in the transfer memo. You are responsible for ensuring full invoice amount is received net of all bank/intermediary fees.

Appendix B — Examples of Non‑Refundable Charges

  • Evaluation/diagnostic fees when service is declined.

  • Special‑order parts after supplier commitment.

  • Shipping once tendered to carrier, except when Aumictech is at fault.

  • Processor fees that are not returned to Aumictech by the provider upon refund.


By placing an order, paying an invoice, approving an estimate, or sending equipment, you confirm you have read and agree to this Payment Policy.
